The Office Coordinator will undertake a variety of day-to-day office/events admin and facilities operations related tasks. The Office Coordinator will play an integral part in supporting the Office Manager and Reception area to ensure that our office admin, various events and facilities operations run smoothly and efficiently at all times.

An excellent office coordinator is, above all, an organized and competent professional with great communication and people skills. They will be comfortable navigating Microsoft Office and other computer applications, they are open to learning new things and are great with people. Our new Coordinator will be able to take instructions or constructive feedback and carry out administrative, events and/or facility related duties with accuracy and speed.

The Office Coordinator will have high level of maturity, accountability and great problem-solving skills. They have the ability to take direction/instruction, take initiative, be calm and levelheaded and not take things too personally. They work well independently and/or within a team and they have a great sense of humour!

What you will do:

  • Provide support to the Office Manager and Receptionist
  • Provide daily lunch coverage for reception
  • Provide sick and vacation coverage for both reception and Office Manager
  • Assist with the restocking of kitchens, bathrooms, water, photocopier rooms and misc office supplies on both floors
  • Assist with new hire set-up/de-hire terminations, when necessary
  • Assist with ordering of supplies (kitchen & office)
  • Assist with maintaining files and records with effective filling systems
  • Assist with FUN Committee & Team Impact events
  • Assist with Company-wide Corporate events such as QBR, CMA, Disco Day, misc CSC & Expedia events
  • Assist with misc office cleaning and housekeeping
  • Assist with misc facilities cleanup or repairs, when necessary
  • Pickup & distribute mail
  • Assist with putting together invites, spreadsheets, various cards, various communications, etc
  • Assist IT with various projects, when necessary
  • Assist other departments with various admin or facilities related projects, when necessary
  • Assist with picking up office/kitchen supplies, when necessary
  • Assist with running misc errands, when needed
  • Assist with filing facility related tickets with Oxford and/or CBRE
  • Assist with vendor relations and researching available vendors/contracts, when necessary
  • Assist with office communications, when necessary
  • Other ad hoc admin/facilities/events duties

Who you are:

  • 3+ years’ experience in office administration and/or facilities coordinator role(s)
  • Experience in customer service
  • Events experience an asset
  • Ability to work without supervision and ability to work well within a team
  • Ability to take direction and feedback
  • Strong sense of personal and situation awareness
  • Strong organizational skills, willingness to take initiative and great time management skills
  • Excellent verbal and written communication skills
  • Very proficient with Microsoft Office Suite
  • Strong knowledge of office/computer systems and procedures
  • Typing speed of 45+ words per minute
  • Strong sense of discretion and professionalism
  • Friendly and approachable
  • Reliable and accountable
  • Mature/accountable, levelheaded individual that shows a great deal of drive and initiative
